Warning to our Exhibitors about “Fair-Guide” and “Expo-Guide”
Information for Exhibitors
Move-In: Please see the floor plan for the nearest move-in door and adhere to your assigned move-intime. After unloading, all trailers must be moved and parked in the far East side of the East Parking Lot. If you do notknow your move-in time, please contact Marshall Brown at Marshall.Brown@ideaggroup.com, or 800-827-8007, x 3303. Entrance signs are posted outside the building. Please bring your own carts, dollies and trailer dollies if needed. The door heights and widths are listed on the floor plan. Please check the dimensions of your equipment to make sureit will fit within the dimensions of the Civic Center doors.
Parking: All exhibitors should park in the East parking lot or along Johnson & Grant Streets during the show. The North parking lot is reserved for attendees and any trailers parked in the North lot will be removed.
Move-Out: Move-out will begin at 4:00 p.m. on Thursday, November 29 at the conclusion of the show. The entire Amarillo Civic Center must be cleared by midnight on Thursday, November 29.
Decorator: Convention Display Services (CDS) is the official decorating contractor for the show. You can downloadtheir forms online at www.conventiondisplayservice.com and enter Show Code: cdsupea. You can also email them atorders@cds1958.com or you can call them at 601-948-4228.
Forklifts: Forklifts will be available for your use during move-in and move-out. You will be invoiced at $60.00 minimumor $100.00 per hour by the decorator for forklift use. Please note: The H, L & A series of booths will be carpeted. Forklifting will not be allowed in these areas. All items must be hand-carried or carted to booths in these areas. Please adhere to your scheduled move-in times! If you do not know your move-in time, please contact Marshall Brown at Marshall.Brown@ideaggroup.com, or 800-827-8007, x 3303.
Electricity: Electrical forms will be available on the CDS website and the farm shows website. Download their formsonline at www.conventiondisplayservice.com and enter Show Code: cdsqa9ex.
Pressure Washing: Showtime Mobile Detailing & Pressure Washing Service will be on site starting Saturday, November 24 through Monday, November 26. Contact Andy Miller at 402-618-7389 or amiller@huntel.net.
Phone/Internet: Phone/Internet forms will be available on the CDS website and the farm shows website.These services will be provided by the Amarillo Civic Center (806-378-4297).
Exhibitor Badges: Create an Excel File with your first name, second name and company name all on different columns. Email the completed Excel form to badges@farmshows.com. Badges pre-ordered by Wednesday November 14, 2012 can be picked up on move-in day near the show office in the south exhibit hall at the Civic Center in Amarillo. After November 14, badges MUST be created on-site during move-in. Please plan ahead and anticipate anyone who may be working at your display so that the badges will be ready for them. Exhibitors will need badges to gain access to the Civic Center during non-show hours.
Announcements: No announcements will be made over the Public Address System. Outdoor Displays: Cygnus Farm Shows maintains the right to control all outdoor displays and parking of trailers on the Civic Center parking lots. Anyone who violates the rules will have their equipment towed at the owner’s expense.
Insurance: Exhibitors shall maintain a Commercial General Liability policy including a minimum coverage for Bodily Injury, Property Damage, Contractual Liability, Product/Completed Operations Liability and Fire Damage Legal Liability. Exhibitors shall maintain Workers’ Compensation/Employer’s Liability. The producers of the Amarillo Farm and Ranch Show are required to carry a Commercial General Liability policy of $1,000,000. Exhibitors are required to mail, or fax a copy of their Insurance Certificate to Cygnus Farm Shows at 952-894-8252. Reminders: Please keep your display within the confines of your booth. You will not be allowed to block your neighbor with a side wall higher than 3 feet. The Amarillo Civic Center has asked us to remind you that you may not attach tape, nails, staples or pins to any wall, column or wooden railing. Also, they recommend the use of 3M Brand Low Residue double-stick carpet tape, (available through CDS), which is much easier to clean off of the floor than box tape, duct tape or other types of adhesion. If you intend to paint anything, please cover the floor prior to anyspraying. If you don’t, the Civic Center will bill you $200 minimum for the repair and cleanup.
Food Distribution: No food item or beverage may be sold on-site outside the control of the Amarillo Civic Center’s concessionaire. Shipping: No shipments can be received at the Amarillo Civic Center before Monday, November 26.
Promotional/Advertising Opportunities: Tag your regular advertisements with your Farm Show booth number and mention that you will be exhibiting at the Amarillo Farm and Ranch Show. If you need show logos, please contact Samantha Kaplan at Samantha.Kaplan@IDEAgGroup.com.
Postcards: FREE promotional postcards are available through the IDEAg Marketing Department. Use the postcards as mailings or include with invoices and statements, display at point-of-purchase, use for distribution by account reps or implement a direct mail campaign inviting your prospects to visit your booth. Postcards can also be ordered by e-mailing Cailey Lantz at cailey.lantz@ideaggroup.com, or by calling 800-827-8007, x2735. The deadline to order brochures is Friday, November 16, 2012.
